Job Description: Ministry Administrator

Position Type: Part-Time (20 hours/week)


Schedule:

  • Monday, Wednesday, Thursday, Friday — 10:00 AM to 2:00PM
  • Sunday — 8:00 AM to 12:00 PM
  • Some flexibility available, but Sunday mornings are required.

Reports To: Lead Pastor

(With dotted-line collaboration with team leaders and elders, as needed)


Role Summary

The Ministry Operations Director ensures the smooth execution of church systems, communication, and volunteer

coordination. This role carries out the vision of the Lead Pastor by making sure nothing falls through the cracks—from Sunday morning excellence to midweek logistics and assimilation processes. This person thrives behind the scenes,

brings order to ministry, and helps build a culture of clarity, consistency, and Christlike service.


This role calls for a self-starter who thrives in a fast-paced, ever-changing environment, confidently manages multiple responsibilities, and finds joy in making a lasting impact—both behind the scenes and in the lives of others.


Key Responsibilities

🧑‍🤝‍🧑 Volunteer Coordination

  • Recruit, and support volunteers for Sunday and midweek ministry teams
  • Manage volunteer onboarding process
  • Develop team leaders and captains to reduce direct oversight needs
  • Lead rhythms of volunteer appreciation, onboarding, and training


🗂️ Administration

  • Maintain the master church calendar, office supplies, and administrative systems
  • Manage basic email communications, data entry, and scheduling
  • Assist with budgeting, purchasing, reimbursements, and expense tracking
  • Manage inventory: offices, classrooms, supplies


📆 Event Planning

  • Plan and coordinate special events (e.g., baptisms, outreach, holidays)
  • Organize space, volunteers, promotion, and follow-up
  • Ensure tasks are clearly delegated and executed with excellence
  • Serve as Project manager for Seasonal events:
  • Christmas, Easter, Church Picnic…


📲 Social Media & Communications

  • Create or oversee weekly social media content to inform and inspire
  • Write or edit announcements, email newsletters, and bulletin content
  • Ensure all communication aligns with the church’s mission and tone
  • Assist with basic video/phot content and website maintenance


🔁 Assimilation &

Follow-Up

  • Oversee the guest experience from first-time visit to membership
  • Maintain systems for follow-up, check-ins, and next steps
  • Support connection card processing and follow-up team coordination


🛠️ Facilities Oversight

  • Coordinate volunteers for setup, cleaning, and basic maintenance
  • Maintain building supply inventory and manage work orders
  • Ensure the building is clean, ready, and welcoming each Sunday


Perform other duties as assigned by the Lead Pastor to support the mission and ministry of the church—you know,

whatever else the Lead Pastor throws your way!


Qualifications

  • Strong organizational and follow-through skills
  • Detail-oriented yet relational—able to care for people while managing systems
  • Thrives in a supportive, background role
  • Clear communicator, creative thinker, and collaborative team player
  • Experience in church, nonprofit, office management, or project coordination preferred
  • Alignment with the mission, vision, and values of Awakening Alliance Church
